BluOps vs Softr for ClickUp Agencies: An Honest Comparison

BluOps vs Softr for ClickUp Agencies: An Honest Comparison

Short answer: Both can put a client portal on top of your ClickUp data. Softr is a no-code app builder — you design and assemble the portal yourself, and its pricing counts your team members and your client users against a single shared limit. BluOps is a finished client portal for ClickUp agencies — you connect it and add clients, internal users are unlimited, and pricing runs on active client count. Softr wins on flexibility and raw sticker price. BluOps wins on time-to-value and on cost predictability as your team grows.

This is written by the BluOps team, so read it with that in mind. Everything below is sourced from Softr's own documentation, and the section where Softr is genuinely cheaper is included rather than skipped.

First, one thing to clear up

Softr added ClickUp as a native data source in late 2025. You will still find comparison articles claiming you have to pipe ClickUp into Airtable first — that is out of date. Softr connects to ClickUp directly, alongside Airtable, Notion, Google Sheets, HubSpot, monday.com, SmartSuite, Coda, Supabase, BigQuery, SQL databases and REST API.

So the comparison is not "which one connects to ClickUp." Both do. The comparison is what happens after it connects.

The structural difference

Softr is a builder

You get a canvas and a block library — lists, tables, forms, charts, item details, comments. You assemble the portal, define user groups, set visibility conditions per block, and design the experience. Anything you can imagine within the block system, you can build. Anything outside it, you can't.

BluOps is a product

The portal already exists. You authorize the ClickUp connection, create a client, point it at the Lists their work lives in, and invite them. There is no canvas because there is nothing to assemble. Anything the product does, you get on day one. Anything it doesn't do, you wait for the roadmap.

That is the whole tradeoff, and everything below is a consequence of it.

Pricing: how each one actually charges you

Softr

Flat monthly by plan, with the price driven by total user count. From Softr's docs, billed monthly:

  • Free — $0. 10 users total, hard cap.

  • Basic — $59/mo. 20 users total, hard cap.

  • Professional — $167/mo. 100 users, expandable to 250 via add-ons at $10 per 10 users.

  • Business — $323/mo. 500 users.

Annual billing gets you two months free, which puts Basic around $49/mo, Professional around $139/mo, and Business around $269/mo.

Here is the line that matters most, quoted from Softr's own pricing FAQ: their pricing model does not differentiate between team members and client users — all users count toward a single total limit.

Read that as an agency. Every person you hire consumes a seat from the same pool as your clients. Growing your team moves you toward the next tier even if your client roster never changes.

BluOps

  • Starter — $69/mo, 5 active clients

  • Agency — $149/mo, 20 active clients

  • Scale — $249/mo, 100 active clients

  • Enterprise — custom

Internal users are unlimited on every plan. White-label branding is a $29/mo add-on, time sync is $29/mo. Annual and quarterly billing carry a discount. Full access for 7 days is $1.

Pricing runs on active client count, which is the axis your agency revenue also runs on. Hire five people and your bill does not move.

Where Softr is genuinely cheaper

Being straight about this, because the math is easy to check.

Agency with 8 team members and 25 clients at 2 contacts each — 58 total users:

  • Softr Professional (100 users): $139/mo annual

  • BluOps Scale (25 clients exceeds Agency's 20): $249/mo

Softr's sticker is lower, by roughly $110/mo. If your only decision criterion is the monthly line item, Softr wins that comparison and you should take it seriously.

What the sticker leaves out is that Softr's price buys you a builder, not a portal. The portal is still your job.

The cost that doesn't appear on the invoice

A client portal built in Softr means: structuring the ClickUp data for client-facing consumption, assembling every page, configuring user groups so client A cannot see client B, setting per-block visibility conditions, building the request intake, wiring anything you want for files and invoices, and testing all of it before a client touches it.

Realistically 20 to 60 hours for a version you would put in front of a paying client. At an agency's own internal rate — call it $100/hr — that is $2,000 to $6,000 of capacity spent before month one.

Then it is yours to maintain. ClickUp changes a field, a status name shifts, a sync silently stops. Your client notices before you do.

Amortized over a year, that build sits somewhere between $170 and $500/mo of internal cost on top of Softr's $139. The invoice comparison and the total comparison are different conversations.

If you have in-house capacity that is genuinely idle, this cost is lower than it looks. If your team is billable, it is higher — every hour on the portal is an hour not on client work.

The user limit is the part that bites later

Softr's shared limit creates a cliff that has nothing to do with how well your agency is doing.

Take the same agency and grow it. 12 team members, 44 clients at 2 contacts each — 100 users exactly. You are at the ceiling of Professional. The next client contact triggers add-ons at $10 per 10 users, and at 250 total users the add-ons stop and Business at $269/mo begins.

Hiring four people costs you portal capacity for two clients. That is a strange incentive to build into your operations.

On BluOps, the same growth changes nothing until you cross 100 active clients.

Feature gating worth knowing about

On Softr, several things agencies assume are standard sit on Professional and above — custom user groups beyond the basics, API calls, conditional forms, and advanced visibility settings. Basic at $49–59/mo gives you 20 total users and limited grouping, which for most agencies means Professional is the real entry point, not Basic.

On BluOps, the gated items are white-label branding and time sync, both $29/mo add-ons on any plan. The core portal — projects, progress, messages, files, invoices — is not tiered.

Which one fits you

Choose Softr if

  • You want design control and a specific interface you have in mind

  • Your portal needs to pull from several sources at once, not just ClickUp

  • You have genuine build capacity, or someone in-house who enjoys this

  • Your team is small and likely to stay small, so the shared user limit isn't a threat

  • You are building something beyond a client portal — an internal tool, a directory, a partner hub

Choose BluOps if

  • ClickUp is your system and you are not adding a second one

  • You want clients in a portal this week, not next quarter

  • Your team is growing and you don't want headcount driving software cost

  • You want files, messages, requests and invoices without building each one

  • Nobody on your team should be maintaining a portal

Frequently asked questions

Does Softr work with ClickUp?

Yes. Softr added ClickUp as a native data source in late 2025, so you can build directly on ClickUp data without routing it through Airtable first.

Is Softr cheaper than BluOps?

On sticker price, often yes. Softr Professional runs about $139/mo annually for up to 100 users, versus $249/mo for BluOps Scale at up to 100 clients. The comparison changes once you count the 20 to 60 hours of build time Softr requires, plus ongoing maintenance, neither of which appears on the invoice.

Does Softr count my team members against my user limit?

Yes. Per Softr's documentation, team members and client users are counted toward a single total limit — 10 on Free, 20 on Basic, 100 on Professional, 500 on Business. Hiring consumes the same pool as onboarding clients.

How long does it take to build a client portal in Softr?

For a version you'd put in front of a paying client, realistically 20 to 60 hours including data structuring, user groups, per-block visibility, and testing. Simple read-only dashboards are faster. Anything two-way takes longer.

Can I white-label a Softr client portal?

Yes, removing Softr branding and using a custom domain is available from the Basic plan up. In BluOps, white-label branding is a $29/mo add-on on any plan.

What happens when I outgrow my Softr plan?

Softr moves you to the next plan that fits your total user count. Only Professional offers user add-ons, at $10 per pack of 10 up to a maximum of 250 users. Beyond that, Business.

The short version

Softr is a good product and the comparison is not close to one-sided. If you want control over the interface and have the capacity to build and own it, Softr will do more than BluOps ever will.

What Softr is not is a client portal. It is the tool you use to make one. For an agency running ClickUp whose actual problem is that clients keep asking where things stand, buying a builder means solving that problem in six weeks instead of an afternoon — and then owning the result forever.

If that trade doesn't appeal, see what the finished version looks like. 7 days of full access is $1, which is cheaper than an hour of building.
