What is ClickUp guest access?

  • View only guests — can see shared items, cannot edit or comment. No subscription fee.

  • Permission controlled guests — can be given comment, edit, or full edit rights per item. These carry a subscription fee.

  • Free Forever guests — only available on the Free plan, and they get full permissions on whatever is shared.

How much does ClickUp guest access cost?

Each paid plan bundles a fixed number of permission-controlled guest seats, and adds more as you add paid members. Exceed the allowance and the extras are billed.

View-only guests and limited members set to view-only do not carry a subscription fee. That is the free path — and it is also the path where your client cannot comment, cannot request work, and cannot do anything except look.

Run the math on a real agency. Eight-person team on Business, billed annually, 25 clients with two contacts each who need to comment on tasks:

  • Team seats: 8 × $12 = $96/mo

  • Included guest seats: 10 + (8 × 5) = 50

  • Client contacts needing comment rights: 50

That one fits. Now add five clients. Or give the account manager's freelancer a seat. Or land a client with four stakeholders instead of two. You are over, and the overage is priced per seat while your revenue from that client did not move. Guest access prices against your client contact count, not your client value. That is the wrong axis for an agency.

The limited member reclassification most agencies find out about on an invoice

This is the part worth reading twice.

ClickUp's documentation states that people who use your organization's email domain or SSO cannot be added as guests. Anyone who meets that criteria and was previously added as a permission-controlled guest gets converted to the limited member role — and per ClickUp's own docs, limited members are charged the same subscription fee as members.

Read that again in agency terms: a person you were treating as an external client contact becomes a full-price seat.

1. You cannot share at the Space level

Guests can't be invited to a Space. Access is granted per Folder, List, Doc or task. Every client relationship becomes a set of individual share actions, and every new deliverable is a decision about whether to re-share it. Miss one and the client thinks the work stopped.

2. What you share is what they see — including the parts you forgot about

Internal comments, task titles, custom field values, assignee names, and estimates all live inside the item you shared. There is no client-facing view. A task named "damage control — call before Marcus sees the report" is visible the moment that List is shared.

3. Onboarding is configuration, not a repeatable step
