Client Portal Options for ClickUp Agencies: What Actually Works With ClickUp

Client Portal Options for ClickUp Agencies: What Actually Works With ClickUp

Short answer: Search "best client portal for agencies" and most results recommend a platform that replaces your project management tool entirely — SuiteDash, Moxo, Teamwork, ManyRequests and similar. Those are real products, but they answer a different question. If you've built your delivery in ClickUp and intend to keep it there, your genuine options are four: ClickUp guest access, public link sharing, a no-code builder like Softr, or a purpose-built ClickUp portal. This compares those four, and is honest about when leaving ClickUp is actually the right answer.

Written by the team behind one of the options. Read it accordingly — the pricing is checkable and the tradeoffs are stated in both directions.

First: the category confusion

"Client portal for agencies" covers two completely different products.

All-in-one agency platforms — SuiteDash, Moxo, Teamwork, ManyRequests, Clinked, Accelo and others. These bundle project management, client portal, CRM and billing into one system. The portal is good because they own the whole stack. The cost is that they want to be your project management tool. Adopting one means migrating off ClickUp.

Portal layers — things that sit on top of the PM tool you already use.

Most roundups mix these together and rank them on portal features alone, which makes the all-in-ones look dominant. They are, on portal features. They're also asking you to throw away your workspace.

When leaving ClickUp is the right call

Being straight about this before comparing anything, because for some agencies it's the honest answer.

Consider switching if:

  • ClickUp genuinely isn't working for your team — performance complaints, low adoption, people avoiding it

  • You're early enough that migration is cheap, under a year of history

  • Client-facing work is the majority of what you do, and internal complexity is low

  • You want CRM, proposals, contracts and billing in the same system and are willing to accept weaker project management to get it

If ClickUp is working and your team uses it well, replacing a functioning delivery system to solve a client-visibility problem is an expensive way to fix the wrong thing.

Option 1 — ClickUp guest access

Invite clients as guests and share specific Folders, Lists, Docs or tasks.

Cost: free within your plan's allowance. Unlimited includes 5 permission-controlled guest seats for a one-member workspace plus 2 per additional member; Business and above start at 10 plus 5 per member. Exceed it and ClickUp adds a full paid member seat.

Strengths: no new tool, granular per-item permissions, works immediately.

Weaknesses: guests can't be added to Spaces, so access is granted per location. Everything inside a shared item is visible including internal comments and custom fields. Guests can't access Chat. Cost scales with client contact count.

Best for: under five clients, one contact each, nothing sensitive in the workspace.

Option 2 — Public link sharing

Share a List, view, Doc or Dashboard via URL. No account needed on the client's side.

Cost: free.

Strengths: two minutes to set up, zero cost, filters carry through to the shared view.

Weaknesses: strictly view only — no comments, approvals or requests. Private Lists, Subfolders, Folders and Spaces cannot be shared publicly at all. No per-client identity; anyone with the URL can open it.

Best for: a standing status link for a client who only needs to look. Genuinely underused — if that's your actual requirement, stop here and spend nothing.

Option 3 — A no-code builder (Softr and similar)

Build your own portal on ClickUp data. Softr added native ClickUp support in late 2025, so you no longer need to route through Airtable.

Cost: Softr Basic $59/mo monthly (20 users), Professional $167/mo (100 users), Business $323/mo (500 users). Annual billing takes roughly two months off. Note that team members and client users count toward one shared limit — hiring consumes the same pool as onboarding clients.

Strengths: full design control, connects to many sources beyond ClickUp, genuinely capable if you invest in it. Lower sticker price than most purpose-built options.

Weaknesses: you build it — realistically 20 to 60 hours for something client-ready — and then you maintain it. Several features agencies assume are standard sit on Professional and above.

Best for: a specific interface you have in mind, real build capacity, or portal needs spanning multiple data sources.

Option 4 — A purpose-built ClickUp portal

Connect a finished product to your workspace and add clients.

Cost (BluOps): $69/mo for 5 clients, $149 for 20, $249 for 100. Unlimited internal users. White-label branding and Time Sync are $29/mo add-ons.

Strengths: minutes per client, no restructuring, workspace stays private, files and messages and invoices included, pricing runs on client count rather than headcount.

Weaknesses: no design control — if you want a bespoke interface, this isn't it. Anything the product doesn't do, you wait for. Narrower than an all-in-one: it's a client portal, not a CRM or proposal tool.

Best for: five or more clients on ClickUp who need to do more than look, and no appetite for owning software.

How to choose in one pass

  • Clients only need to look, few of them? Public links. Free, done today.

  • Under five clients, one contact each, clean workspace? Guest access.

  • Want a specific interface and have build capacity? No-code builder.

  • Five-plus clients, two-way interaction, nobody to maintain software? Purpose-built portal.

  • ClickUp itself isn't working for your team? An all-in-one platform, and accept the migration.

Frequently asked questions

Does ClickUp have a built-in client portal?

No. ClickUp offers guest access and public link sharing, both collaboration features rather than portals. Client-portal templates exist, but they're structured Docs and views, not a separate client-facing product.

What's the best client portal for ClickUp agencies?

It depends on whether clients need to look or participate. Public links are free and view-only. Guest access allows interaction but bills per contact and exposes the shared location's contents. A no-code builder gives control at the cost of build and maintenance time. A purpose-built ClickUp portal is fastest to value with the least flexibility.

Should I switch from ClickUp to an all-in-one agency platform?

Only if ClickUp isn't working for your team on its own merits. Platforms like SuiteDash, Moxo and Teamwork have strong client portals because they own the whole stack, but adopting one means migrating your delivery system. That's a large cost to solve a visibility problem.

Can I use Softr as a ClickUp client portal?

Yes. Softr connects to ClickUp natively and you build the portal yourself. Expect 20 to 60 hours for a client-ready version, and note that its user limit counts your team members and client users together.

What's the cheapest way to give ClickUp clients visibility?

Public link sharing, at zero cost. The constraint is that it's view only and unavailable for private Lists and Folders. If that fits your actual requirement, it's the right answer and nothing else is worth paying for.

Do I need a client portal if I already give clients guest access?

Not necessarily. If you're under your guest seat allowance, your workspace holds nothing sensitive, and your clients navigate ClickUp comfortably, guest access is working. The reasons to move are usually cost as contacts grow, exposure risk, or clients finding the interface confusing.

The short version

Most "best client portal" lists answer a question ClickUp agencies aren't asking. If your delivery works in ClickUp, the real choice is between four options that sit on top of it, and the right one depends almost entirely on whether your clients need to look or to participate.

If they only need to look, share a public link today. If they need to do more, see what a purpose-built version looks like — 7 days of full access is $1.
